By accessing and using the phantasia-warden website and rental services, you agree to be bound by these Terms of Use. If you do not agree with any part of these terms, you must not use our website or services.
These terms constitute a legally binding agreement between you (the customer) and phantasia-warden (the service provider). Please read them carefully before proceeding with any rental booking.
Service Description
phantasia-warden provides portable charging station rental services for outdoor activities, camping, events, and temporary power needs throughout the United Kingdom. Our services include:
- Rental of portable power stations in various capacity levels
- Delivery and collection services within specified coverage areas
- Technical support during rental periods
- Equipment insurance coverage
Eligibility and Account Requirements
To rent equipment from phantasia-warden, you must:
- Be at least 18 years of age
- Have legal capacity to enter into binding contracts
- Provide accurate and complete information when booking
- Have a valid UK address for delivery or collection
- Possess a valid payment method
We reserve the right to refuse service to anyone for any lawful reason.
Booking and Reservation Process
Making a Booking
Rental bookings are made through our website or by contacting us directly via email. When you submit a booking request:
- You receive an initial acknowledgment of your request
- We confirm equipment availability within 2 hours during business hours
- A confirmation email is sent with booking details and payment link
- The rental becomes binding once payment is completed
Booking Confirmation
Your booking is confirmed only after we receive full payment. Equipment availability is not guaranteed until payment is processed and you receive a confirmation email with a booking reference number.
Amendments and Cancellations
Booking changes or cancellations must be made by email to [email protected]:
- More than 7 days before rental start: Full refund minus 10% administration fee
- 48-168 hours before rental start: 50% refund
- Less than 48 hours before rental start: No refund
We may cancel bookings due to equipment failure or circumstances beyond our control. In such cases, you receive a full refund or alternative equipment at the same price point.
Pricing and Payment
Rental Fees
Rental prices are displayed on our website and include:
- Equipment rental for the specified period
- All necessary cables and accessories
- Protective carrying case
- Comprehensive insurance coverage
- 24/7 technical support access
Additional Charges
The following may incur additional charges:
- Delivery beyond free delivery zone (calculated based on distance)
- Late returns: 20% of daily rental rate per day
- Damage exceeding insurance coverage limits
- Loss or theft requiring police report
- Cleaning fees for excessive dirt or contamination
Security Deposit
A refundable security deposit is required for all rentals:
- £100 for Weekend Warrior and Extended Adventure rentals
- £150 for Family Camping and Festival Season rentals
- £300 for Corporate Event packages
Deposits are held during the rental period and refunded within 48 hours of equipment return and inspection, provided no damage or policy violations occurred.
Payment Methods
We accept payment via major credit and debit cards, bank transfer, and PayPal. Payment must be completed before equipment delivery or collection. Corporate accounts may arrange invoice payment terms for qualifying organizations.
Equipment Use and Care
Proper Use
You agree to:
- Use equipment only for its intended purpose
- Follow all operating instructions provided
- Keep equipment reasonably clean and in good condition
- Protect equipment from theft, extreme conditions, and misuse
- Not modify, repair, or tamper with equipment
- Not submerge equipment or exceed its water resistance rating
Prohibited Uses
You must not:
- Use equipment outside the United Kingdom
- Connect equipment to automotive charging systems while driving
- Attempt to open or repair internal components
- Expose equipment to fire or extreme heat sources
- Sublet or transfer rental to third parties without authorization
- Use equipment for commercial purposes (unless specified in rental agreement)
- Connect medical or life-support devices unless explicitly approved
Delivery and Collection
Delivery Service
For delivery orders:
- Free delivery within 20 miles of our Nottingham base
- Extended delivery available UK-wide for additional fee
- Delivery scheduled within agreed 2-hour window
- Signature required on delivery to confirm receipt
- You must inspect equipment upon delivery and report any issues immediately
Self-Collection
For collection orders:
- 10% discount applied to rental price
- Collection during business hours at agreed time slot
- Valid photo identification required
- Inspection conducted together before equipment leaves premises
Return Process
Equipment must be returned:
- On or before the final rental day specified in booking
- With all included accessories and cables
- In the original carrying case
- Reasonably clean and in working condition
Late returns incur daily charges. Contact us before your rental period ends if you need an extension.
Insurance and Liability
Included Insurance
All rentals include insurance covering:
- Accidental damage during normal use
- Component failure not caused by misuse
- Damage from weather within equipment specifications
- Coverage up to £500 per incident
Insurance Exclusions
Insurance does not cover:
- Intentional damage or misuse
- Damage from prohibited uses
- Loss or theft without police report filed within 24 hours
- Water damage exceeding IP65 rating limits
- Cosmetic damage not affecting functionality
Liability Limitation
phantasia-warden's liability is limited to the rental fee paid. We are not liable for:
- Consequential damages from equipment failure
- Data loss or damage to connected devices
- Trip disruption or alternative power costs
- Loss of profits or business interruption
This limitation does not affect your statutory rights under UK consumer protection law.
Customer Liability
You are responsible for:
- Equipment security and protection from theft
- Damage beyond normal wear and tear
- Loss or theft (with police report required)
- Costs exceeding insurance coverage limits
Technical Support
We provide 24/7 technical support for active rentals. Support covers:
- Operating instructions and troubleshooting
- Equipment malfunction assessment
- Replacement unit dispatch for genuine failures
Support does not cover training on basic device charging or issues caused by user error or misuse.
Equipment Malfunction
If equipment fails during your rental due to defect or malfunction:
- Contact our support line immediately
- We troubleshoot remotely first
- Replacement dispatched within 4 hours for local customers if needed
- Pro-rated refund provided for downtime exceeding 12 hours
Malfunctions caused by misuse or damage are not covered under this provision.
Intellectual Property
All content on the phantasia-warden website, including text, graphics, logos, images, and software, is our property or used under license. You may not:
- Copy, reproduce, or distribute website content without permission
- Use our trademarks or branding for commercial purposes
- Reverse engineer or extract source code from our website
Privacy and Data Protection
Your personal information is processed in accordance with our Privacy Policy and UK GDPR requirements. By using our services, you consent to data collection and processing as described in our Privacy Policy.
Website Use and Restrictions
When using our website, you must not:
- Attempt to gain unauthorized access to systems or data

This disclaimer does not affect your statutory rights under UK consumer protection law.
Governing Law and Jurisdiction
These Terms of Use are governed by the laws of England and Wales. Any disputes arising from these terms or our services shall be subject to the exclusive jurisdiction of the courts of England and Wales.
